One Drive. One System.
Learn It Once.

Every event gets the same six folders, numbered in the order footage actually lives its life. If you know the number, you know where it is. 4,705 files, 900 GB, zero guessing.

Same skeleton, every event Numbers = the pipeline

The one idea

The Numbers Follow The Footage.

A clip enters at 1, gets locked at 2, gets cut at 3, and leaves at 5. Photos and paperwork ride alongside. That's the whole system. Explain it once and anyone can file, or find, anything.

1
RAW
Everything off the cards, by day + shooter
2
MASTERS
Irreplaceable: multicam, full talks, audio. Never edited, never renamed
3
EDITS
Working cuts by deliverable. Selects, drafts, finals
4
PHOTOS
Raw, edited, public. The parallel track
5
PUBLISH
Captioned, scheduled, posted. The only folder marketing needs
6
DOCS
Run of show, SOPs, transcripts, agreements

Folder by folder

What Lives Where. And What Never Does.

1RAW

In: card dumps, b-roll, untouched clips
Organized by day, then shooter: Main Event / Callum
Upload straight off the card, no sorting needed
No edits, no exports, no "dump 3" folders inside

2MASTERS

In: the irreplaceable stuff
Multicam records, full talks, event audio, VIP workshops
Backed up outside this drive (done: 423.7 GB verified)
Nothing in here is ever edited, renamed, or moved

3EDITS

In: working cuts, one subfolder per deliverable
Testimonials / Speaker Clips / Hype / Short Form / Recap
Inside each: Selects, Drafts, Final
No v1-v9 folders. Dates go in the filename

4PHOTOS

In: every still, three states only
Raw (by photographer), Edited, Public
Public = safe to share anywhere, attendee-facing
No photos hiding inside video folders

5PUBLISH

In: finished content, ready to go out
Captioned, scheduled, and posted content by channel
The ONLY folder a marketer or VA ever needs to open
Nothing unfinished. If it's a draft, it's still in 3

6DOCS

In: the paperwork around the footage
Run of show, SOPs, notes, transcripts, VSL scripts
Speaker agreements + speaker assets per event
No media files. Documents only

Four rules keep it clean

The Constitution.

R1

Same skeleton, every event

EVOLV 3.0 starts with the identical 1-6 folders on day one. Navigation is learned once, forever.

R2

Versions live in filenames, not folders

`Recap-2026-08-09-v2.mp4`, not `/v2/Recap.mp4`. Superseded versions go to _ARCHIVE.

R3

Archive, never delete

Old projects, dupes, and dead drafts move to _ARCHIVE. Trash is not a filing system and nothing irreplaceable ever sits as a single copy.

R4

Empty folders die

A folder exists because something is in it. Aspirational scaffolding gets deleted on sight.
